OneDrive for Business Sync Client – Issues solved, gaps closed

One of the most common usage of Office 365 is file sharing using SharePoint Online or – because of the 1TB free space – OneDrive for Business. Originally made for collaboration, Office 365 is not the best choice if it comes to file server migrations, compared to other options. But on the other hand, it offers great benefits in a next step, like search, content classification using managed metadata, change notifications and workflows, versioning, checkin / checkout etc.

Currenty the most critical part of a file server migration seems to be the local sync using the OneDrive for Business client. Microsoft has announced a new version, but it is still under construction.

Like in other cases, 3rd party tools can help. The Layer2 Cloud Connector solves many known issues and overcomes limitations of the Microsoft out-of-the-box file sync offering:

  • can sync very large file shares, not bound to any SharePoint / OneDrive limit (5.000 / 20.000 items)
  • more flexible sync options, e.g. source / target folders, flexible intervals
  • fixes file name issues and path length issues automatically (different rules for Windows and SharePoint)
  • path length is shortened if required for SharePoint
  • forbidden file types are zipped automatically
  • SQL style queries, e.g. for “newer” files only or specific file types only
  • use of SharePoint views for sync
  • use of lists instead of libraries supported as well (for metadata transfer only and link back),
  • one-way / two-way sync Options
  • more flexible replication conflict resolution strategies (e.g. “one side wins” or “keep both items”)
  • flexible field mapping for additional metadata
  • much lower resource usages (non-parallel upload / download)
  • flexible reporting / alerting using the Windows MMC and NLOG to files, SQL, Windows event log etc.
  • add managed metadata automatically during upload (planned)

You can find more about the file sync options here.

The tool can also be used to connect and sync SharePoint lists or libraries to structured data from almost any system or application (local or cloud-based), e.g. SQL/ERP/CRM, Exchange, Web Services, Facebook, Twitter etc. codeless. The local network must not be opened for access from outside. The tool runs as a Windows service inside the corporate network. No changes required at the systems connected. No data is transferred to any 3rd party (e.g. Azure).

You will find more supported systems and use cases for data integration here. Several different Editions are available from Personal to Professional and File Sync only, per installation one-time fee, or per user subscription-based.

If your Office 365 is still a data island, now it’s the time to integrate and sync – with local data or with other clouds – to highly increase the benefits and user acceptance.
